For car dealerships
Accounting software for car dealerships that knows the profit on every vehicle by VIN
A car is not an ordinary stock item: each one has a VIN, a purchase cost, shipping, customs and preparation costs, and a sale that may involve a deposit, a trade-in or bank financing. Barah Plus includes a car-dealership module built on the same accounting system, so every vehicle has its own file, its true cost and its entries from the moment of purchase to the moment of delivery.
Accounting that understands a vehicle’s life cycle
The vehicle register
A catalogue of makes and trims, and for each vehicle a VIN, model year, colour, mileage and status (in transit, on the lot, reserved, sold, delivered), with a unified history of everything that happened to it.
The vehicle’s landed cost
The purchase price plus shipping, customs, insurance and preparation gives the vehicle’s real cost before pricing it, and the difference between sale and cost posts as that vehicle’s profit.
Deposits and reservations
A deposit is recorded as a liability to the customer and reserves the vehicle, then is applied to the final invoice or refunded with a voucher, each step with its entry.
Trade-ins
Appraise the trade-in, bring it into stock as a new vehicle at the appraised value, and deduct it from the sale invoice, with no manual entries.
Financing and instalments
A finance deal with a down payment, a financing party and a financed amount, or direct instalments with a fixed schedule, with receivable and collection entries.
The vehicle e-invoice
A ZATCA-compliant standard or simplified invoice carrying the VIN and specifications, with VAT calculated and direct submission to the Fatoora platform.
What is different about dealership accounting?
In a dealership, inventory is almost all of the capital, and every unit has a different cost. The moving average that suits spare parts does not suit cars; so each vehicle is valued at its actual cost and that specific cost is expensed when it sells, making the income statement reflect the profit on each deal precisely.
Liabilities to customers (deposits, trade-in amounts) and receivables from financing parties also need dedicated accounts mapped automatically, or they pile up in one account nobody can explain. Barah Plus maps these accounts once in the dealership settings and uses them on every deal.
The rest of the company stays as it is: expenses, salaries, rent, branches and the financial statements, in the same system and from the same chart of accounts.
- Dealership stock, vehicle profitability and stock-age reports
- Sales-rep commissions calculated on deals
- Purchase orders with make and trim per line, and a receipt that creates the vehicles
- Vehicle photos and documents in its file
Frequently asked questions
Does the system track each vehicle by VIN?
- Yes. Each vehicle has a file keyed by VIN and a unified history covering purchase, added costs, reservation, sale and delivery.
Can shipping and customs be added to the vehicle’s cost?
- Yes. Additional costs are recorded against the vehicle and become part of the landed cost expensed at sale.
Does it support deposits and trade-ins?
- Yes. A deposit is recorded and applied to the invoice or refunded, and a trade-in is appraised, brought into stock and deducted from the deal.
Is a ZATCA-compliant e-invoice issued at sale?
- Yes. A standard invoice for companies or a simplified one for individuals, carrying the VIN, signed and submitted to the Fatoora platform.
Is the module suitable for used-car dealers?
- Yes. A used vehicle is purchased or taken in as a trade-in at its cost, and its status and preparation are tracked to sale in the same way.
